Paperwork that processes itself.
Invoices, purchase orders, bills of lading. Every one of them keyed in by hand, by someone you hired for better work. A document agent reads them, enters them, and flags only the problems.
In short
AI document processing uses an agent to extract data from business documents and enter it into your systems automatically. It handles every vendor's format, validates totals against POs, and routes only genuine exceptions to a human.
The loose end
Somewhere in your office is a person who can recite PO numbers from memory. That person is expensive, and this is what their talent is spent on. Manual document entry is slow, error-prone, and invisible until it isn't: a mis-keyed invoice line becomes a payment dispute, a BOL typo becomes a freight claim, a PO entered twice becomes an overpayment. Meanwhile the person doing the keying is usually your most detail-oriented employee, wasted on work a machine does better.
What the agent does
- Reads documents in any format (PDF, scan, photo, email attachment) from any vendor.
- Extracts line items, totals, dates, and references with confidence scores per field.
- Validates with a three-way match: invoice against PO against receipt.
- Enters the clean data into your ERP or accounting system.
- Flags the exceptions for a human: mismatches, duplicates, readings it isn't sure of. The reason comes attached, so review takes seconds.
The math that matters
Documents per week × minutes per document × loaded hourly rate, plus the cost of the errors that slip through. High-volume back offices routinely find five figures a month. The Opportunity Audit measures your actual volume and error rate before quoting a build.
Our vendors all use different formats. Problem?
No. That's the normal case, and exactly where an AI agent beats template-based OCR. It reads documents the way a person does, not by fixed positions.
What if it reads something wrong?
Fields carry confidence scores. Anything uncertain is flagged for a human before it enters your system. Never silently.
